Household Hive is a household staffing placement agency operating in the Greater Seattle, Washington area. We connect families with experienced household professionals, including nannies, household managers, family assistants, newborn care specialists, private educators, and personal assistants.

By using our website, submitting an inquiry, applying as a provider, completing an intake form, or engaging our placement services, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our website or services.

2. Scope of This Policy

This Privacy Policy applies to information collected through:

  • Family consultation forms, intake forms, and inquiries
  • Provider applications and candidate submissions

This Privacy Policy does not apply to third-party websites, applications, or services that may be linked from our website or used during the placement process (such as payroll providers, payment processors, or background check vendors). Those third parties have their own privacy practices, and we encourage you to review them.

3. Information We Collect

We collect different categories of information depending on how you interact with Household Hive. Below is a breakdown of what we may collect from each group.

3.1 Information From Families

When a family submits a consultation form, intake form, or otherwise engages our services, we may collect:

  • Parent or guardian names, email addresses, and phone numbers
  • ZIP code, neighborhood, or general location information
  • Household details, including the number of adults, household routines, pets, and home environment
  • Information about your children, including first names or nicknames, ages, pronouns, gender, personality, interests, routines, allergies, medical or developmental needs, and care preferences
  • Childcare and household role preferences, including schedule, duties, compensation range, and benefits offered
  • Information shared during consultations, interviews, or written communications with Household Hive
  • Family values, household culture, parenting style, and communication preferences
  • Records of your engagement with our services, including signed agreements, payment timing, and placement history

A note about children’s information: Household Hive collects limited information about minors only as necessary to support placement services. This information is provided by parents or legal guardians, used solely for placement-related purposes, and is not collected directly from children. See Section 11 below for more detail.

3.2 Information From Providers and Candidates

When a household professional applies to join Household Hive or is considered for a placement, we may collect:

  • Legal name, preferred name, pronouns, and gender identity (gender identity is optional)
  • Contact information, including email, phone number, ZIP or postal code, and address
  • Resume, work history, qualifications, and certifications (including CPR/First Aid)
  • Education background and credentials
  • Professional references, including reference contact information you provide to us
  • Availability, role preferences, desired compensation, and schedule preferences
  • Authorization to work in the United States
  • Driving record information (where applicable for roles involving transportation)
  • Information shared during interviews, screening, or correspondence with Household Hive
  • Background screening information, including identity verification, Social Security number trace, criminal database searches, sex offender registry searches, and global watchlist searches, as described in Section 12 below
  • Photos or other media you choose to share with your application or candidate profile

3.3 Information From References

When we contact references provided by a candidate, we collect:

  • The reference’s name, role or relationship to the candidate, and contact information (provided by the candidate)
  • Information the reference shares about the candidate’s reliability, communication, professionalism, experience, and overall qualifications

Candidates authorize us to contact references at the time of application. References can decline to provide information at any time.

3.4 Information From Website Visitors

When you visit our website, we may automatically collect:

  • Device and browser information (browser type, operating system, screen size)
  • IP address and general geographic location
  • Pages viewed, time spent, links clicked, and referring website
  • Date and time of access
  • Cookie identifiers and similar tracking data (see Section 7 below)

3.5 Information You Voluntarily Provide

We also collect information you choose to send us through email, contact forms, blog interactions, social media, or other voluntary communications.

4. Sensitive Information

Because of the nature of household staffing, we may collect information that is more sensitive than what a typical website collects. This includes:

  • Information about minor children (provided by parents or guardians)
  • Health and medical information, including allergies, medications, dietary restrictions, developmental needs, and postpartum or newborn care details
  • Criminal background information collected during candidate screening

We treat this information with heightened care. Sensitive information is collected only when necessary for placement, screening, or family-candidate matching purposes, and is shared only with parties who have a legitimate need to know.

Washington My Health My Data Act: Where applicable, Household Hive complies with the Washington My Health My Data Act (“MHMDA”) regarding the collection of consumer health data. We do not sell consumer health data. If we ever begin collecting or sharing health-related data in ways that trigger MHMDA, we will provide separate, specific notice and obtain required consent.

5. How We Use Your Information

We use the information we collect to:

  • Operate Household Hive’s placement, screening, and matching services
  • Communicate with you about consultations, applications, placements, and ongoing services
  • Create family job profiles and candidate profiles used in the matching process
  • Share candidate profiles with families and family opportunity details with candidates
  • Conduct or coordinate reference checks, identity verification, and background screening
  • Support interviews, trial periods, work agreements, and offer negotiations
  • Provide post-placement support and replacement guarantees
  • Process and track payments, fees, and invoices through our payment processor
  • Respond to inquiries, support requests, and contact form submissions
  • Send service-related updates, including changes to our policies, agreements, or fees
  • Improve our website, services, and placement process
  • Comply with legal obligations, including tax, employment, and recordkeeping requirements
  • Protect the safety, rights, and security of families, candidates, references, and Household Hive
  • Prevent fraud, misuse, or unauthorized access

We do not sell your personal information. We do not share your personal information with third parties for their independent marketing purposes.

6. How We Share Your Information

Household Hive shares information only when necessary to provide our services or when legally required. The categories of sharing include:

6.1 With Families and Candidates (during matching)

  • Candidate profiles, including resumes, qualifications, references summaries, photos (if provided), and relevant experience, are shared with families considering a candidate for placement
  • Sanitized job opportunity details from family intakes are shared with qualified candidates. Identifying details such as exact address, full names of children, and private family information are not shared until appropriate in the matching process
  • Background check results may be shared with families only when legally permitted and with candidate authorization

6.2 With Service Providers

We share information with third-party vendors who help us operate our services. These vendors are contractually required to handle your information securely and only for the purpose we engage them for. They include:

  • Background check providers (an FCRA-compliant consumer reporting agency) for criminal, identity, and driving record verification
  • Payment processors (such as Stripe) for processing engagement fees, placement fees, and other invoices. Payment information you submit goes directly to the payment processor and is governed by their privacy policy
  • Email and communication providers
  • Document signing platforms (used for signed agreements)
  • Hosting, cloud storage, and database providers
  • Calendly or other scheduling platforms for consultation booking
  • Analytics and website platforms
  • Enginehire (staffing agency management software): Household Hive uses Enginehire as our primary platform for managing candidate applications, family profiles, recruiting and vetting workflows, candidate dashboards, document storage, signed agreements, background check status tracking, scheduling, billing records, internal notes, and communications between Household Hive, families, and candidates. When you submit an application, intake form, or other information to Household Hive, that information is typically stored and processed within Enginehire. Enginehire also provides candidate-facing dashboards that allow applicants to log in, manage their information, and track their application status. Enginehire is contractually required to handle your information securely and only for the purpose of supporting our placement services. 6.3 For Legal and Safety Reasons

We may disclose information when we believe in good faith that doing so is necessary to:

  • Comply with a law, regulation, court order, subpoena, or other legal process
  • Cooperate with law enforcement or government investigations
  • Enforce our agreements, policies, or terms
  • Investigate, prevent, or address fraud, abuse, or safety concerns
  • Protect the rights, property, or safety of Household Hive, our clients, candidates, or others

6.4 In a Business Transfer

If Household Hive is involved in a merger, acquisition, sale of business assets, or similar transaction, information may be transferred as part of that transaction. We will notify you and require any successor to honor the commitments in this Privacy Policy.

6.5 With Your Consent

We may share information in other ways with your explicit consent.

Our website uses cookies and similar tracking technologies to operate properly and improve your experience.

7.1 What Are Cookies?

7.4 Do Not Track Signals

Some browsers offer a “Do Not Track” (DNT) signal. There is no industry-standard response to DNT signals at this time, so our website does not currently respond to them. We will update this section if that changes.

Household Hive uses reasonable administrative, technical, and physical safeguards to protect your information, including:

  • Limiting access to information to authorized personnel with a legitimate business need

  • Following industry-standard practices for background check handling and document storage
  • Requiring vendors to use appropriate security measures

No system is fully secure, however. We cannot guarantee absolute security, and you share information with us at your own risk. If we become aware of a data breach affecting your personal information, we will notify you as required by applicable law.

Where your information is stored: Most candidate, family, and placement information is stored within Enginehire, our staffing agency management platform (see Section 6.2). Background check information is stored by our FCRA-compliant consumer reporting agency. Payment information is held by our payment processor. Each of these vendors maintains their own security practices and is contractually required to protect your information.

9. How Long We Keep Your Information

We keep your information for as long as needed to:

  • Provide our services to you
  • Maintain candidate and family records for future opportunities or replacement guarantees
  • Comply with our legal, tax, and recordkeeping obligations
  • Resolve disputes, enforce agreements, and protect our rights

Specific retention periods vary by data type. For example:

  • Signed agreements and placement records: typically retained for at least 7 years for tax and legal purposes
  • Background check records: retained according to FCRA-compliant vendor practices and applicable law
  • Active candidate and family profiles: retained while the relationship is active and for a reasonable period afterward
  • Inquiry and contact form submissions: retained for a reasonable period to support follow-up communication

When information is no longer needed, we securely delete, anonymize, or destroy it. You may request deletion of your information as described in Section 10 below.

10. Your Privacy Rights

Depending on where you live, you may have certain rights regarding your personal information. Household Hive honors the following rights for all users, regardless of location, except where a specific law limits them:

  • Access: You can request a copy of the personal information we have about you
  • Correction: You can ask us to correct inaccurate or incomplete information
  • Deletion: You can request that we delete your personal information, subject to legal exceptions (such as records we are required to retain)
  • Withdraw consent: Where we rely on your consent, you can withdraw it at any time
  • Opt out of marketing: You can ask us to stop sending you marketing communications
  • Opt out of sale or sharing: We do not sell or share your personal information for cross-context behavioral advertising, but if that changes, you will have the right to opt out

10.1 Washington State Residents

Washington residents may have additional rights under the Washington My Health My Data Act regarding consumer health data, including the right to access, delete, and withdraw consent for processing of consumer health data. To exercise these rights, contact us using the information in Section 14.

10.2 California, Colorado, Virginia, and Other State Residents

If you live in a U.S. state with comprehensive consumer privacy rights (including California under the CCPA/CPRA, Colorado, Virginia, Connecticut, Utah, and others), you may have additional rights, including the right to know what categories of personal information we collect, the right to limit the use of sensitive personal information, and the right not to be discriminated against for exercising your rights. 10.3 How to Exercise Your Rights

To exercise any privacy right, please email us at contact@householdhiveagency.com or write to us at the address in Section 14. We may need to verify your identity before fulfilling certain requests. We will respond within the timeframe required by applicable law (typically 30–45 days).

11. Children’s Privacy

Household Hive’s website and services are intended for adults (parents, guardians, and household professionals over the age of 18). We do not knowingly collect personal information directly from children under 13.

In the course of providing placement services, families share certain information about their children with us. This information is provided by parents or legal guardians, not by the children themselves, and is used only to support the placement process. We treat children’s information with extra care and limit access to those who have a legitimate need to know.

If you believe we have collected personal information directly from a child under 13, please contact us at contact@householdhiveagency.com and we will delete the information promptly.

12. Background Check Disclosures

Background screening is an important part of our placement process. Household Hive uses an FCRA-compliant consumer reporting agency to conduct background checks on candidates who are seriously considered for placement.

Before a background check is run, candidates receive a separate, standalone Background Check Disclosure and Authorization form, as required by the Fair Credit Reporting Act (“FCRA”). That form provides additional, specific notice about how background check information is collected, used, and shared.

Background check information may include, where appropriate:

  • Identity verification
  • Social Security number trace
  • National criminal database search
  • County criminal courthouse search
  • National sex offender registry search
  • Global watchlist search
  • Motor vehicle record check (for roles involving driving)

Background check results are shared only with parties who have a legitimate need to know, such as the family considering the candidate for placement, and only with the candidate’s authorization where required by law. Candidates have rights under the FCRA, including the right to receive a copy of their background report and to dispute inaccurate information.

13. Third-Party Links and Services

Our website may include links to third-party websites, tools, or resources, such as the Care.com Nanny Tax Calculator, government domestic worker rights pages, payroll providers, or scheduling platforms. We do not control these third parties and are not responsible for their privacy practices. We encourage you to review their privacy policies before sharing any information with them.

Our website may also include social media features (such as Instagram, Facebook, or other platforms). These features may collect information about your interaction with them and are governed by the privacy policy of the platform providing them.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we do, we will revise the “Last Updated” date at the top of this policy. Material changes will be communicated through our website or by direct notice where appropriate.
